Introduction

Barassie Railway and Transport Workers Club is a Members Club which runs social events and other activities for its members and their guests.  Barassie Railway and Transport Workers Club keeps information about its members and staff.  We mainly communicate via email, post, plus our website and Facebook page but may communicate verbally for more urgent matters.  Communications are for informational purposes, membership updates and for the promotion of club events and other associated activities.  

 Personal Information

Members

 Barassie Railway and Transport Workers Club retains information about its members. Upon joining Barassie Railway and Transport Workers Club or renewing annual subscriptions, we will request certain personal details such as Name, Address and contact details.  We will use this data for communicating with members and to comply with local laws governing membership of the club. The personal details we hold are required by South Ayrshire Licensing Authority and may be requested by Police Scotland to ensure the club is satisfying the conditions of operating as a social club. Members personal data is held electronically on the club accounting system. The accounting database is stored securely in a cloud-based storage system and is only accessible by authorised club officials.

Function applications

The club is required by local law to provide personal data to South Ayrshire Licensing Authority when an occasional license for a function is required. This information is supplied by the applicant on a paper application form. Once the application has been submitted to the licensing authority the paper application containing personal data is destroyed.

 How we collect information

 When members and occasional license applicants of Barassie Railway and Transport Workers Club actively sign up or subscribe to our membership, apply for occasional licenses or communicate with us, they may choose voluntarily to give us certain information (for example by filling in or completing membership or application forms).  This information requires direct action by the individual for us to receive and action it.  In all cases there is the option to opt out of future communications should they wish to do so when giving this information. By default - in all cases above, consent has been granted to Barassie Railway and Transport Workers Club to hold personal details and communicate with them by actively giving their details when subscribing.  In doing so, they are allowing active communication from us on the matters stated above.  There will always be an option to opt out of any further communications.  

 How long we retain information for

 Barassie Railway and Transport Workers Club will not retain information for longer than necessary.  We will only hold on to the information you provide for as long as you are a member.  If membership is not renewed the club will hold information for 1 year from the expiry of membership. Thereafter the information will be deleted. Information may be held over and above 1 year If it is legally required or if it is reasonably necessary to resolve disputes, prevent fraud or abuse or if we have a legitimate interest.  You are entitled to request that any of your data is deleted from our records at any time. 

Consent

Barassie Railway and Transport Workers Club will not contact any persons for whom we do not have consent to do so.  By becoming a member of the club, members by default consent to us communicating with them on club activities, meetings, and membership status.  We understand that you trust us with your personal details and we are committed to ensuring the security and privacy of your personal information.  You are able to do any of the following:
